How To Write A Resignation Letter

To write a resignation letter effectively, we need to know what should be included in your resignation letter. In essence, it should contain 4 important components:

  1. Your intent
  2. Your explanation
  3. Appreciative note
  4. Offer to help

You would need to keep in mind that most of the time, your resignation letter will be kept in a file for future reference. Hence, if done incorrectly, the letter may affect you several years later.

How To Start Writing Resignation Letter?

Your resignation letter usually starts off with your details like your address. After which, you can continue with the date and the manager’s name, company’s name (ZZZ) and address.

We can then start off with the actual letter itself.

Dear Mr/Mrs X,

Your Intent:

With great reluctance, I submit this letter of resignation, effective December 14, 2010.

Other sample statements for your intent include:

Please accept this letter as my notice of resignation, effective _______.
With regret and anticipation, I am writing in order to inform you of my resignation from current position title, effective _______.

Your explanation:

I have decided that it is move on and I have accepted a position with ABC Company, as an opportunity to further my career goals.

(You can include your explanation including accepting a new position, but take note that you want to keep your explanation positive and avoid negative statements. You may want to select a most appropriate and neutral explanation for your resignation.)

Other samples or explanations for resignation include:

Personal reason -  Due to several events in my personal life, I have decided to leave the job. This was a difficult decision and I took a lot of consideration but I am convinced that it is in the company’s and my best interest.
Going back to college – I have decided to accept a formal offer to study for a business management course in University Name.

Appreciative note:

Thank you for the opportunity to work with ZZZ Company during these two years. I could not have ask for a better group of colleagues. I have grown tremendously with ZZZ and I appreciate the support in training myself into a professional trader.

(You want to consider seriously what your job has taught you, what skills you have acquired, and how this can help you in your future career path.)

Offer To Help:

Please be assured that I will do all I can to ensure a smooth transition in either hiring or training my replacement until Date.

Ending note:

I wish both you and ZZZ Company continued success and I would like to thank you for having me as part of your team.
